    ARE YOU PLANNING AN EVENT? WE CAN HELP!

     

    Event Permits/Park and Recreation Facility Rentals

    Eugene is a city that values events as a means of bringing people together to enrich lives and strengthen communities through the celebration of arts, sports, culture, commerce and more. 

     

    This webpage is intended to help event organizers in their planning effort, and to serve as a guide for event organizers to determine which permits, reservations and licenses may be needed from the City. Also, it provides links to key documents, staff and non-city agencies.

     

    SMALL SCALE EVENTS

    If you are planning a private, low-impact event such as a reunion, wedding, business meeting, birthday party or a neighborhood Block Party that will occur in a park, community center, city pool or on a neighborhood street, you might only need a basic rental agreement or permit. If your event fits the above description, click on Event Use Permits and Rental Forms to the right to search for the appropriate form.

     

    LARGE SCALE EVENTS: NOTIFICATION PERMITS AND APPROVAL

    If you are planning a large event or an event that will likely result in any of the conditions identified below, City staff can assist you with the event planning process if you submit an Event Notification Form.

    • More than 250 people will attend
    • Street and/or sidewalk closures, detours or other public right-of-way impacts
    • Creates a large demand for parking
    • Affects Lane Transit District bus routes
    • Requires security and/or Police Services
    • Affects a City bike path or pedestrian trail
    • Impacts the shorelines of the Willamette River, or other waterways and natural resources
    • Is a racing event of any kind, or an organized walking event
    • Is a parade of any kind
    • Has amplified music or other significant high volume sound sources 
    • Utilizes a City park

    The information you provide on the Event Notification Form will help City staff determine which permit applications and rules apply for your event, and will allow City staff to direct you to the correct department for service.

     

    After you submit the Event Notification Form:

    • You will be contacted via email or phone to let you know your event is being reviewed, and which permit applications you will likely need to complete in order to hold your event.
    • You might be asked to make a presentation to members of the Eugene Special Events Team.

    Submitting the online Event Notification Form is not a substitution for applying for, and obtaining, the necessary permits. Submission of the Event Notification Form will enable City staff to assist you in the permit application process, including identifying potential problems with the proposed event that could result in permit denial. 

    Be aware that major events may require up to 6 months of prior approval from the City to allow time to coordinate traffic plans, Police services, Public Works services and other key items. Allow yourself adequate lead time for planning, marketing and implementation.
